Why one PDF beats ten attachments
Property managers handle huge numbers of applications. One well-ordered PDF is easy to open, forward and print. Ten loose phone photos named "IMG_4021.jpg" are not. Many portals also limit the number or size of attachments, so a single, compressed file simply gets through more often.
Speed: be ready before the listing appears
Prepare your folder once, keep it on your phone, and set up listing alerts on the big portals. When a new flat appears, you only need to adjust a line in your letter and send. Your data stays saved in your browser so you can regenerate the PDF in seconds.
Privacy: nothing is uploaded
Your payslips and documents never leave your device. The PDF is merged locally in your browser. Before sending, black out information the landlord doesn't need, such as your tax ID, social security number or the photo on your ID card if you prefer. Only share sensitive documents with a landlord you are seriously considering, and watch out for listing scams asking for documents or money before any viewing.
Frequently asked questions
Is the PDF in German or English?
German. You fill everything in with English instructions, but the cover page, letter and forms are produced in German because that is what landlords expect.
Can I add documents in English?
Yes. You can attach any PDF or image, for example an employment contract in English or a reference from a landlord abroad.
How big will the file be?
That depends on your attachments. Scanned images make files larger, so use reasonably sized photos or PDFs.
Should I send the folder before the viewing?
Usually you send the letter first and offer the folder, or attach it right away if the listing asks for it. Before a viewing, landlords should only need basic information about you.
What if my employment is still in probation?
Mention it openly and include an employer letter confirming your position. A guarantor can add extra security.
